The short answer: Qwilr makes the best-looking documents in the category and charges for it. Starter is $35 per user per month on annual billing ($49 monthly) and includes 10 documents, with each extra at $5. Growth is $55 per user per month and will not sell you fewer than five seats — a floor of $275 a month. Most people searching for an alternative are one person who hit one of those two walls.

Pricing verified on 26 August 2026 by reading each vendor’s own pricing page: Qwilr · PandaDoc · Better Proposals · Proposify. Prices change — check the source before relying on a number here.

The three walls people hit

  • The document cap. Ten a month on Starter, then $5 each. Send a revised version to the same client and that is two.
  • The seat minimum. Growth is sold in blocks of five. A two-person studio pays for five people or stays on Starter.
  • Annual-only billing on Growth and Scale — no monthly escape hatch.

The alternatives

1. PandaDoc — $19/user/month, uncapped documents

Roughly half Qwilr’s entry price and no document meter. You lose some of the design polish; PandaDoc documents look professional rather than art-directed. Custom branding needs Business at $49 per user per month.

2. Better Proposals — $13/user/month

Cheapest dedicated tool, but the same trap in a different shape: Starter is capped at 10 documents a month and one user. Premium at $21 takes it to 50.

3. Proposify — $19/user/month

Also capped at 10 sends on Basic, so it fixes the price but not the ceiling. Worth it if you want the content library and approvals, which Qwilr is lighter on.

4. MyProposer — $6.99/month, flat

100 documents every 30 days, not per seat, no overage charge. Against Qwilr Starter at $35 for 10 documents — about $3.50 each — the same figure here is roughly 7 cents.

Where Qwilr genuinely wins

If the proposal is the pitch — agencies selling design, brand or campaign work, where the document is a demonstration of what you can make — Qwilr is the best tool in this list and it is not particularly close. Embedded video, interactive modules and a genuinely designed page are things the cheaper tools approximate rather than match.

Do not switch away from Qwilr to save money if the document is doing sales work for you. Switch if you were buying a beautiful page and only ever needed a clear one.

Where MyProposer fits

MyProposer is $6.99 a month for Pro, flat rather than per seat, covering 100 documents every 30 days across proposals, quotes, contracts and invoices. The Free plan is $0 for two of each every 30 days, with AI drafting, interactive quotes, e-signatures and the client CRM included. Every new account starts on 30 days of Pro automatically, no card.

It is a smaller product than the tools above. No team seats, no approval workflows, no Zapier or Salesforce integrations — if you need those, buy the tool that has them. See the plans or start free.
