PandaDoc vs Better Proposals: Uncapped, or Cheaper

The short answer: $6 a month separates them, and it buys the removal of a ceiling. Better Proposals Starter is $13 per user per month for 10 documents and one user. PandaDoc Essentials is $19 with no document cap and no seat maximum. Under ten documents a month, Better Proposals is the better deal. Over it, it stops being close.

Pricing verified on 26 August 2026 by reading each vendor’s own pricing page: Better Proposals · PandaDoc. Prices change — check the source before relying on a number here.

Price, side by side

  • Better Proposals — Starter $13/user/month annually ($19 monthly), 10 docs, 1 user max. Premium $21, 50 docs. Enterprise $42, unlimited. Follow-up automation is a $10/user/month add-on.
  • PandaDoc — Essentials $19/user/month, uncapped. Business $49/user/month, adds branding, integrations, approvals.

Where Better Proposals wins

Price and templates. It is the cheapest well-known dedicated proposal tool, and its template library is deep with copy that is genuinely well written rather than placeholder filler. For repeatable work — the same packages to the same kind of client — you can go from nothing to sent very quickly.

Where PandaDoc wins

No ceiling, in two senses. Documents are uncapped and users are not limited to one, so the tool does not become the constraint as you grow. It also reaches further, into contracts and e-signature workflows, and integrates with CRMs — on the $49 Business tier.

The two lines to read carefully

Better Proposals Starter is one user, hard. Not a soft limit. A collaborator means Premium at $21.

PandaDoc branding is a Business feature. Custom branding sits at $49, not $19, so if the proposal must look like your company the comparison shifts substantially.

Who should pick which

Pick Better Proposals if you are one person, send under ten a month, and your work is repeatable.

Pick PandaDoc if volume is unpredictable or more than one person needs access.

A note on who is writing this

We make MyProposer, which competes with both tools above. We have kept the comparison to figures you can check on their own pricing pages, and said plainly where each one is the better buy — a comparison that never concedes anything is not worth reading. If you want the third option: MyProposer is $6.99 a month, flat, for 100 documents every 30 days, with a genuinely free plan underneath it. It is a smaller product than either — no team seats, no approval workflows, no CRM integrations. See the plans or start free.
