Proposify vs PandaDoc: The Send Cap Is the Whole Difference

The short answer: they start at the same price — $19 per user per month — and the difference is what that buys. Proposify Basic includes 10 sends a month. PandaDoc Essentials does not cap documents at all. If volume is your question, that is the entire comparison.

Pricing verified on 26 August 2026 by reading each vendor’s own pricing page: Proposify · PandaDoc. Prices change — check the source before relying on a number here.

Price, side by side

  • Proposify — Basic $19/user/month annually ($29 monthly), 10 sends. Team $41 annually ($49 quarterly), 30 sends. Business custom, from $3,900/year, 75 sends.
  • PandaDoc — Essentials $19/user/month, uncapped. Business $49/user/month, uncapped, adds branding, CRM integrations and approval workflow.

Where Proposify wins

Content governance. Shared libraries, brand control and a review step before anything reaches a client are what Proposify is built around, and it is more opinionated about them than PandaDoc. If your worry is that five people are sending five different-looking proposals, Proposify is the tool that fixes that by design.

The 14-day trial also gives you the Team plan rather than a stripped tier, which is a fairer way to evaluate than most.

Where PandaDoc wins

Volume and reach. No send cap at the entry tier, and the platform stretches past proposals into contracts and e-signature workflows. If documents flow through a CRM at your company, PandaDoc is the one that plugs into it — though the integrations live on Business at $49, not Essentials.

The thing to check before you pick

Branding. On PandaDoc, custom branding is a Business feature at $49 per user per month, not a $19 one. If you want proposals that look like your company rather than like PandaDoc, the real comparison is Proposify Basic at $19 against PandaDoc Business at $49 — and that is a very different picture from the headline.

Who should pick which

Pick Proposify if you are a team that cares about consistency and sends a predictable, moderate number of proposals.

Pick PandaDoc if volume is unpredictable, or if the document needs to live inside a wider sales workflow.

Neither is a good fit for one person sending a handful of proposals a month — both are priced per seat for a team you do not have.

A note on who is writing this

We make MyProposer, which competes with both tools above. We have kept the comparison to figures you can check on their own pricing pages, and said plainly where each one is the better buy — a comparison that never concedes anything is not worth reading. If you want the third option: MyProposer is $6.99 a month, flat, for 100 documents every 30 days, with a genuinely free plan underneath it. It is a smaller product than either — no team seats, no approval workflows, no CRM integrations. See the plans or start free.
