The short answer: PandaDoc is $19 per user per month on Essentials and $49 per user per month on Business. Unlike most of the category it does not cap how many documents you send — what it charges for is people.

Credit where it is due

No send cap is a genuine advantage, and it is the main reason people move to PandaDoc from Proposify, Qwilr or Better Proposals — all three meter documents on their entry tier. If your volume is unpredictable, an uncapped plan removes the one variable you cannot forecast.

Where the cost actually lands

The seat model is the whole story. One person on Essentials is $228 a year. Add two colleagues who occasionally send something and it is $684 — for the same unlimited documents.

Branding is the other line to watch. Removing PandaDoc’s own branding and adding your own means Business, which is $49 per user per month rather than $19. For a solo consultant who wants a proposal that looks like their studio, that is the real price of entry.

Who should buy it

PandaDoc suits a sales team with a workflow to standardise, especially one that already lives in a CRM and wants documents to flow through it. That is a real job and PandaDoc does it well.

It suits a freelancer less well, not because it is bad but because you are paying team-shaped pricing for a single-person problem — and paying Business rates to put your own logo on things.

Where MyProposer fits

MyProposer is $6.99 a month for the Pro plan, and it is not priced per seat. That covers 100 documents every 30 days across proposals, quotes, contracts and invoices. There is also a Free plan at $0 — two of each document type every 30 days, with AI drafting, interactive quotes, e-signatures and the client CRM included rather than held back — and every new account starts on 30 days of Pro automatically, with no card.

It is a smaller product than most of the tools above, and deliberately so. There are no team seats, no approval workflows and no Zapier or Salesforce integrations.
